Onscreen Marking System — pre-go-live checklist

Before you start large-scale evaluation on the Eklavvya OSM system, run through this checklist. Each item maps to a real cause of evaluator complaints or downstream result-processing problems.

Before scanning

  1. Confirm scanner DPI — answer sheets must be scanned at 200 DPI or higher. Lower DPI causes rotated / blurred images that examiners will reject.
  2. Mask candidate identity — verify that roll number and name regions are auto-masked in the scanned image. The OSM viewer shows masked sheets to evaluators.
  3. Upload the answer key and question paper — without these, examiners cannot reference the question while marking.

Before assigning evaluators

  1. Define roles correctly — Examiner, Moderator, Re-Evaluator, Scanner, Admin, COE, Observer. Each role has scoped permissions; don't over-grant.
  2. Enable 2-factor authentication for all evaluators (Google Authenticator OTP). OSM logins are sensitive.
  3. Set evaluator quota — cap the number of booklets per examiner so the workload is balanced and quality stays consistent.
  4. Brief moderators on the mark-difference workflow (see step 9).

During evaluation

  1. Every page must turn green before submission — examiners must annotate each page (mark, tick, comment, or a cross-blank for blank pages). The "Finish Paper Checking" button stays disabled until every page is green.
  2. Use the cross-blank icon for empty pages — candidates often leave pages blank. Examiners must explicitly mark them with the Cross / Blank icon, otherwise the page won't turn green and the booklet can't be submitted.
  3. Reject unclear booklets, don't guess — if pages are rotated, missing, or unclear, reject the booklet with a reason. The scanning team will rescan and re-upload.

Quality control

  1. Moderators consolidate examiner-1 and examiner-2 marks — when both examiners disagree, the moderator sees both values and enters the final consolidated mark.
  2. Use the Faculty Dashboard to track evaluator pace — it shows evaluation count, time-per-sheet, and remaining quota for every examiner in real time.
  3. Print billing records from Faculty Dashboard → Reports → Evaluation Records → Print for faculty payment.

If something goes wrong

OSM auto-saves marking progress every few seconds. A browser crash or power cut does not lose work — the examiner can log back in and resume from the last saved state. For data-display problems (e.g. moderator dashboard showing blank examiner-2 marks), WhatsApp the exam ID, question number, and a screenshot to +91 90280 21965.
