Slot booking: let candidates book exam slots

What slot booking is

Slot booking lets candidates choose an exam slot (date, time and centre) from the slots your institute makes available, instead of being given a single fixed time. Admins load candidates and slots, track bookings, and cancel bookings when needed.

Slot booking is an institute-level feature enabled by Eklavvya support. If you do not see the Slot Booking menu, contact [email protected].

Where to find it

Step 1: Import candidates and slots

1. Go to Candidates → Candidates Data.
2. Open Actions and click Import Candidates and Slots.
3. Click Download the sample template and fill it in.
4. Click Choose Excel File and select your completed .xlsx or .xls file.
5. Click Import.

Step 2: Candidates book a slot

Candidates sign in to your institute's candidate site and book from the slots available to them. Share the candidate site link and booking instructions with candidates using your institute's own domain. Once booked, the slot appears in the Slot Booking Report.

Step 3: Track bookings (Slot Booking Report)

1. Go to Slot Booking → Slot Booking Report. The top of the page shows TOTAL SLOTS.
2. Filter by City, then Center (select a city first to load its centres), or leave them at -All-.
3. The table lists Name, Roll No, Subject, Subject Code, Slot Start, Slot End, Slot Booked Date, State, City, Center Name, Center Code and Center Address.
4. To download, open Actions → Export (Excel).

Cancel a candidate's slot

1. Go to Slot Booking → Slot Cancellation.
2. Search for the candidate. The table shows Roll No, Name, Center Name, Subject, Slot Date, Slot Start Time and Slot End Time.
3. Click Cancel Slot on the row and confirm.

Every slot cancellation is recorded in Organisation → Admin User Logs, so you can see who cancelled which slot and when. See Candidate logs and admin user logs.

Common questions

Can a candidate book again after cancellation?
Check with Eklavvya support how rebooking is configured for your institute.

The Import Candidates and Slots option is missing.
It appears only for institutes with slot booking enabled. Contact [email protected].
