How to assign an exam schedule to one or more batches
Batches group candidates so you can schedule and communicate with them in one operation. You can assign an exam to a single batch or to multiple batches at once.
Before you start
- The exam must be created and published. See Getting started.
- The batch(es) must exist under Candidates → Batches.
Steps
- Log in as admin.
- Go to Schedule → Assign Exam.
- Select the exam from the dropdown.
- In the Assign To field, switch to Batch mode.
- Tick one or more batches in the multi-select list. The candidate count updates as you tick.
- Choose schedule type:
- Fixed schedule — single start time and end time for everyone.
- Availability window — range of dates / times in which any candidate can start.
- Per-batch schedule — if you ticked multiple batches and want each batch on a different slot, switch to "Per-batch" and set times individually.
- Set start time, end time, and (for availability windows) the exam duration in minutes.
- Optional — enable proctoring, secure browser, identity verification.
- Optional — configure communication: email, SMS, WhatsApp. See candidate communication setup.
- Click Save & Send. Eklavvya creates the schedule and dispatches the configured notifications.
To change a schedule after publishing
- Go to Schedule → Active Schedules.
- Find the row for your exam × batch and click Edit.
- Change the time / duration. Eklavvya can optionally resend updated notifications to affected candidates — tick Notify candidates.
- Save.
To cancel a schedule
- Same screen — Schedule → Active Schedules.
- Click Cancel on the row.
- If you want to inform candidates, tick Send cancellation notification before confirming.
