How to communicate over E-mail/SMS about exam schedule to candidate?

Sending exam schedules and links by email, SMS, or WhatsApp

Eklavvya can send the exam link, login credentials, and reminders to candidates via email, SMS, or WhatsApp. The channels are configured per-exam by the admin.

For admins — set up candidate communication

  1. Log in as admin and open the exam.
  2. Go to Communication → Templates.
  3. Edit the email, SMS, and WhatsApp templates. Use the available placeholders: {{candidate_name}}, {{exam_name}}, {{exam_link}}, {{start_time}}, {{username}}, {{password}}.
  4. Choose channels for this exam: tick Email, SMS, WhatsApp, or any combination.
  5. Pick when each channel fires: on assignment, 24 hours before, 1 hour before, or custom.
  6. Click Send Test to send one to your own number/email before publishing.
  7. Save. Eklavvya sends automatically as candidates are assigned and as the schedule approaches.

For admins — resend to a specific candidate

  1. Go to Candidates → search by name or registration ID.
  2. Open the candidate, click Communication History.
  3. Click Resend next to the message you want to repeat.

For candidates — "I didn't receive my exam link"

  1. Check Spam / Junk / Promotions — exam link emails frequently land there. In Gmail, also check the Promotions tab. Search keywords: "eklavvya", "exam", "assessment", "login". If found, mark "Not Spam" and open.
  2. Verify the right email account — confirm with your institution which email ID they sent to. Check all your accounts if you have more than one.
  3. Check WhatsApp — some institutions send via WhatsApp instead. Look for messages from your institution's number or from an Eklavvya account.
  4. Log in directly to the portal — go to your institution's exam portal (typically college-name.eklavvya.com) and use the "Take Test" button on your dashboard. You don't always need the email link.
  5. Contact your institution — only your college / exam department can resend the link. Eklavvya support cannot resend institutional exam links.

For candidates — "Password reset link not working"

  1. Reset tokens expire after a short time. Request a new one from the Forgot Password page.
  2. Check that your device date and time are set to "Set automatically".
  3. Open the new reset link immediately — don't wait.

If your registration was approved but you never received credentials, contact your examination department directly. WhatsApp Eklavvya support at +91 90280 21965 only if the institution has already confirmed the credentials were sent.
