How to communicate over E-mail/SMS about exam schedule to candidate?

Sending exam schedules and links to candidates

Eklavvya sends exam details and login credentials to candidates by email, with automatic email and WhatsApp reminders for AI interviews. SMS sending is disabled.

For admins: prepare the email template

1. In the footer rail at the bottom of the sidebar, go to Communication → Send E-mail.
2. Under Template, choose a template: Exam Assignment, Forgot Password, System Requirement, Candidate Pass Mail or Candidate Fail Mail.
3. Select the Exam Name and, optionally, the Schedule.
4. The From address is fixed. Add a CC address if needed (optional).
5. Edit the Subject and Email message. Click a personalization tag to copy it, then paste it into the subject or message.
6. Click Save template. Use Set as default to make it the default, or Reset to go back to the standard text.

To send emails from your own address, set up Organization Profile → Email (SMTP) Settings. See Organization logo, theme and email settings.

For admins: send the email to candidates

1. Go to Candidates → Assign To Exam and select the exam and schedule.
2. To email everyone assigned to that schedule, choose Actions → EmailToAll.
3. To email only some candidates, tick them and choose Actions → Email.

For admins: automatic reminders

Communication → Notification Scheduler sends Confirmation, 24-Hours, 1-Hour and Recurring reminders by email and WhatsApp. In the current release it covers AI interviews. See Notification Scheduler.

For admins: check what was sent

Go to Communication → E-mail Records. Search by email ID or date range to see recipient, subject, sent date and Deliver Status. Click a message to view it in full, or export the list to Excel.

For candidates: "I didn't receive my exam link"

1. Check Spam / Junk / Promotions. Search for "eklavvya", "exam", "assessment" or "login". If found, mark it "Not Spam".
2. Check the right email account. Confirm with your institute which email ID they used.
3. Log in directly to your institute's exam site (the address your institute gave you, usually yourinstitute.eklavvya.com). Your exams are listed on your dashboard; you do not always need the email link.
4. Contact your institute. Only your institute can resend your exam details. Eklavvya support cannot resend institutional exam links.

For candidates: password reset link not working

1. Where your institute has it enabled, Forgot Password on the candidate login page sends a reset link to your registered email. Open the newest link straight away; older links stop working.
2. The reset needs a valid email address that is registered only to you. If several candidates share an email address, ask your institute to reset the password.
3. Check that your device date and time are set automatically.
