What documents can be shared in the Knowledge Management section?

The Knowledge Management module is where admins upload study material, syllabus PDFs, reference guides, instruction videos, and any candidate-facing resources. Below is the supported file matrix.

Supported file types and size limits

CategoryFormatsMax size
DocumentsPDF, DOCX, DOC, PPTX, PPT, XLSX, XLS, TXT, RTF10 MB per file
ImagesPNG, JPG, JPEG, GIF, WebP5 MB per file
VideoMP4, WebM, MOV100 MB per file
AudioMP3, WAV, M4A25 MB per file
ArchivesZIP50 MB per file
External linksYouTube, Vimeo, Google Drive, Dropbox, OneDrive URLsn/a (link only)

What candidates can do with shared documents

  • Preview in browser — PDFs, images, and videos open in-page without downloading.
  • Download — if you enable the Download permission on the document.
  • Search — documents are indexed by title, description, and topic tag.
  • Bookmark — candidates can star documents they want to revisit.

Recommended use cases

  • Syllabus PDFs — share the official course or exam syllabus.
  • Reference notes / study material — pre-exam preparation content.
  • Practice question banks — PDFs of past papers or sample questions.
  • Instruction videos — "how to take the exam", anti-cheating policy explainer, mock walkthrough.
  • Admit card downloads — not strictly Knowledge Management; use the dedicated Admit Card module.
  • External resource links — curated YouTube lectures, reference books on Google Drive, partner LMS material.

What NOT to upload

  • Answer keys for upcoming exams — obvious risk.
  • Personal identifiable data of candidates — uploading PII to a shared resource breaks data-protection norms.
  • Files larger than the size limit — if you need to share a large video, upload to YouTube / Vimeo / Drive and share the link instead.
  • Executable files (.exe, .msi, .apk) — blocked by the upload validator.
