Accepting online registrations and payments for an exam

Yes — Eklavvya supports a full entrance-exam flow: online registration form, payment gateway, admit card generation, slot booking, and exam delivery. Common for university entrance tests, certification exams, and recruitment screenings.

The 5 stages of an entrance-exam setup

Stage 1 — Design the registration form

  1. Log in as admin.
  2. Go to Entrance Exam → Registration Form.
  3. Add the fields you need: personal details, qualification, category, photo upload, ID proof upload.
  4. Mark fields as mandatory or optional.
  5. Save as a draft and preview the candidate view before publishing.

Stage 2 — Connect a payment gateway

  1. Go to Settings → Payment Gateway.
  2. Pick a gateway: Razorpay, PayU, CCAvenue, Stripe, or PayPal.
  3. Enter the API key, secret, and webhook URL from your gateway dashboard.
  4. Set fee amount(s) — flat fee, or category-based (e.g. General / SC / ST / OBC).
  5. Enable the gateway and click Test Payment to validate.

Stage 3 — Publish the registration page

  1. Go to Entrance Exam → Publish.
  2. Set registration open and close dates.
  3. Share the registration URL on your website / social media.
  4. Candidates fill the form, upload documents, pay, and receive a confirmation email with their registration number.

Stage 4 — Issue admit cards

  1. Go to Entrance Exam → Admit Cards.
  2. Pick the admit card template (or upload your own design with placeholders).
  3. Click Generate Admit Cards for all paid registrations.
  4. Candidates can download their admit card from their dashboard or via the registration email.

Stage 5 — Slot booking and exam day

  1. Optional: enable Slot Booking so candidates can self-select their exam date and time from available slots.
  2. On exam day, candidates log in with the credentials in their admit card.
  3. Identity verification (face + ID card) runs at the start.
  4. Exam proceeds with proctoring as configured.
  5. Results are published per your timeline.

Tracking registrations & payments

  • Entrance Exam → Registrations — full list of registered candidates with payment status.
  • Reports → Payment Reconciliation — export payment data for accounting reconciliation against your bank.
  • Refunds — initiate from the candidate row; processed via the same gateway used for collection.

Common questions

Can I run a free entrance exam?
Yes — in Stage 2, leave the fee at 0 and skip the payment gateway setup.

Can I support multiple fee tiers?
Yes — configure category-based pricing in Settings → Payment Gateway → Fee Categories (e.g. General vs reserved categories).

Can registered candidates edit their form after submission?
By default no, but you can enable a correction window: Entrance Exam → Settings → Allow Correction, set the date range.
